Privacy Policy
This Privacy Policy explains how JJS Services collects, uses and protects your personal information when you enquire about solar, battery backup and energy-saving solutions. It is prepared with reference to South Africa's Protection of Personal Information Act, 2013 (POPIA).

Introduction
JJS Services values your privacy and is committed to handling your personal information responsibly. This Privacy Policy describes how we collect, use and protect personal information that you share with us through our website, Facebook lead forms, WhatsApp conversations, telephone calls and other business communications.
JJS Services is the business responsible for deciding why and how your personal information is processed (the "responsible party" under POPIA). Our details are set out in Section 2 below.

Personal Information We Collect
Depending on how you interact with JJS Services, we may collect the following personal information:
- First name and surname
- Phone number and email address
- Property suburb, address and location details
- Monthly electricity bill range
- Solar system goals
- Preferred installation timeframe
- Payment preference
- Property ownership information
- Site inspection and appointment details
- Customer messages and enquiry notes
- Information supplied through Facebook lead forms
- WhatsApp conversations and interactions with the virtual assistant
- Website usage and cookie-related data, where actually collected
Information you provide directly. You give us much of this information yourself — for example, when you complete our solar assessment form, speak to us on the phone, or message us on WhatsApp.
Information from connected platforms. We may also receive information about you from connected platforms such as Meta (Facebook) when you submit a Facebook lead form. That information is transferred to us by the platform and is handled in line with this policy.
We do not collect bank details, identity numbers or detailed financial records through this website unless and until that functionality is confirmed and communicated to you.
Why We Use Personal Information
We may use your personal information to:
- Respond to solar enquiries.
- Understand your electricity and backup-power requirements.
- Assess whether you may benefit from a consultation or site inspection.
- Arrange appointments and communicate booking details.
- Prepare and follow up on quotations.
- Communicate with you through channels you have chosen or authorised.
- Maintain customer records and manage service delivery.
- Improve customer support and website performance.
- Send optional promotional communications where permitted.
Legal grounds for processing. We rely on different lawful grounds under POPIA depending on the purpose. These include processing to carry out or respond to your enquiry (which you have initiated), to conclude and perform a contract where you proceed with a service, to comply with our legal obligations, and — for optional promotional communications — your consent. Not all of our processing relies exclusively on your consent; we will process your information for the enquiry you have made even where marketing consent has not been given.
Facebook Leads and Website Enquiries
Information you submit through JJS Services' Facebook lead forms or our website enquiry forms may be transferred into our customer relationship management (CRM) system. This helps us respond to your enquiry efficiently and avoid repeatedly asking you for details you have already provided.
We may use this information to decide whether to arrange a call with you, offer a site inspection, or request any additional details we need to take your enquiry forward.
WhatsApp Communications and Our Virtual Assistant
JJS Services plans to introduce a WhatsApp virtual assistant to help manage enquiries. This assistant is not yet active. When it is introduced, it may be used to:
- Respond to customer questions.
- Collect missing solar qualification information.
- Discuss solar needs and preferred next steps.
- Offer an inspection booking link.
- Arrange a handover to Willie Venter or another JJS Services representative.
Some messages from the assistant may be generated automatically. The assistant provides general information only and does not guarantee quotations, savings, financing approval or installation availability.
You may request to speak with a human representative at any time, and you can opt out of future WhatsApp communications by letting us know.
Enquiry messages vs marketing. WhatsApp messages about an existing enquiry are separate from optional promotional WhatsApp marketing. We will not send promotional WhatsApp messages unless you have separately consented to them.
Consent and Communication Preferences
We distinguish between three separate permissions:
- General contact about your enquiry — permission for JJS Services to contact you regarding your specific solar enquiry.
- Optional WhatsApp contact about your enquiry — separate, optional permission to initiate WhatsApp conversations about your enquiry, including automated messages from the virtual assistant.
- Optional WhatsApp marketing — separate, optional permission to send promotional WhatsApp messages that are not about an existing enquiry.
You can withdraw your consent or ask us to stop promotional messages at any time by contacting us using the details in Section 15. Promotional consent is never combined with the necessary communications about your enquiry.
We do not use pre-ticked boxes, and a general form submission does not automatically authorise marketing communications. Where marketing consent applies, it is given separately and explicitly.
Sharing Information with Service Providers
JJS Services may use service providers to operate its website, CRM, appointment calendar and communication systems. These providers process information on our behalf and only as needed to deliver the relevant service. Examples may include:
- HighLevel / LeadConnector — for customer relationship management and automation.
- Meta and WhatsApp — for communications and lead-form delivery.
- ClientFlowMedia — for authorised CRM setup and technical support.
- Hosting, email and other technology providers — as relevant to operating our services.
These providers act on our instructions to help us run our business; they do not own your personal information.
We do not sell your personal information. We may also share it where we are legally required to do so.
International Data Processing
Some of the technology services we use may process or store personal information outside South Africa. Where information is transferred across borders, we aim to do so in a way that is consistent with POPIA's requirements and the arrangements we have with our service providers.
Data Security
JJS Services takes reasonable organisational and technical measures to protect your personal information from unauthorised access, loss, misuse or disclosure.
However, no system can be guaranteed completely secure. We do not make claims about specific encryption standards or security certifications, and we do not offer an absolute guarantee of security.
How Long We Keep Information
We keep your personal information only for as long as is reasonably necessary for the relevant business purpose, or to meet applicable legal obligations under South African law.
If you would like more information about how long we keep a particular type of information, please contact our Information Officer using the details in Section 15.
Customers' Privacy Rights
Under POPIA, you have the right to:
- Request access to your personal information.
- Request correction or deletion of your personal information where appropriate.
- Object to certain processing of your personal information.
- Withdraw consent where processing relies on consent.
- Lodge a complaint with South Africa's Information Regulator.
